The short answer
If your company runs on Microsoft 365, start with Copilot. With a paid license it works inside Outlook, Teams, Word and Excel with the files and permissions you already have. The basic Copilot Chat costs nothing extra but works mainly from the web and what people upload. Pick ChatGPT when people need a strong standalone assistant for writing, analysis and finished deliverables, or when you don’t run on Microsoft. As of November 2026, Microsoft 365 Copilot costs $30 per user per month, paid yearly, on top of a qualifying Microsoft 365 plan. A standard ChatGPT Business seat costs $20 per user per month billed annually. You can also run both, as long as you decide who gets which tool, and why.
- On Microsoft 365? Start with Copilot Chat, then license the roles that live in email and meetings.
- On Google or a mix? ChatGPT Business, or the Gemini you already have.
- Need EU data residency? In ChatGPT that takes Enterprise.
I train organizations in Copilot, ChatGPT and Claude, and I don’t sell licenses. I checked prices and features on Microsoft’s, OpenAI’s, Anthropic’s and Google’s own pages on 1 November 2026. Prices are US list prices before tax and change often. This guide compares Microsoft’s Copilot for work with ChatGPT for companies. GitHub Copilot, the AI coding agent for developers, is a separate product.

Microsoft has renamed Microsoft 365 Copilot to Microsoft Copilot, but its price pages still use both names.
What does Copilot cost compared with ChatGPT?
Microsoft sells Copilot in layers. Copilot Chat comes with eligible Microsoft 365 subscriptions. It’s grounded in the web and in files people upload. The paid license adds your work data, Copilot in Teams and the Office apps, and agents such as Researcher and Analyst (Microsoft).
- Microsoft 365 Copilot. $30 per user per month, paid yearly, on top of a qualifying plan such as Microsoft 365 E3 or E5 (Microsoft Learn).
- Microsoft 365 Copilot Business. $21 per user per month, paid yearly, for business plans of up to 300 users. Purchases between 1 July and 31 December 2026 get $18 for the first year, on an annual commitment and not on trial subscriptions. Microsoft can end the offer early. Paying monthly costs $25.20 (Microsoft).
- Usage on top. Cowork, Code, Autopilot and the Work IQ APIs are billed by usage, beyond the license.
ChatGPT Business costs $20 per user per month for a standard seat billed annually, or $25 monthly, from two users (OpenAI). A premium seat with more usage for ChatGPT Work and Codex costs $100 billed annually or $125 monthly. Both seat types can buy workspace credits for usage beyond the included limits. Enterprise is priced on request (OpenAI). ChatGPT Plus, at $20 a month, is a personal plan, and OpenAI may use those conversations to improve its models unless the user opts out (OpenAI).
For 50 people on annual billing, that’s $18,000 a year for Microsoft 365 Copilot, $12,600 for Copilot Business at list price and $12,000 for ChatGPT Business standard seats. The Copilot prices come on top of your Microsoft 365 licenses, and both vendors charge extra for some usage.
How do Copilot and ChatGPT work with Microsoft 365?
Copilot works inside the apps where the work already is. With ChatGPT, people mostly bring the work to it, by uploading files or connecting apps.
With a license, Copilot reaches email, calendar, chats, meetings and documents through Microsoft Graph, and it only shows content the user can already open (Microsoft Learn). That protects data, but it also makes old oversharing visible. If a folder with salary data is open to everyone, Copilot will find it for anyone who asks. Check SharePoint permissions before you roll out licenses.
Without a license, Copilot Chat works from the web and what people upload, except in Outlook, where it can use the inbox and calendar (Microsoft Learn). A license label under each person’s name in Microsoft 365 shows whether they get Copilot in Word, Excel and PowerPoint. Copilot Chat (Basic) means no Copilot there, M365 Copilot (Basic) means standard access, and M365 Copilot (Premium) means a paid license (Microsoft).
ChatGPT reaches Microsoft 365 through connected apps. The SharePoint app searches content the user can already access, and its Microsoft permissions usually need approval from an Entra administrator (OpenAI). ChatGPT’s add-ins for Word, Excel and PowerPoint work on the open file, and the Word add-in can’t reference other files on your computer (OpenAI). My guide to MCP and AI connectors explains how connectors work.
Is Copilot or ChatGPT safer for company data?
Microsoft says prompts, responses and Graph data aren’t used to train foundation models (Microsoft Learn). OpenAI doesn’t train on ChatGPT Business and Enterprise data by default, and it signs a data processing addendum (OpenAI).
- Agreements. Prompts and responses in Copilot fall under the same Microsoft terms as your email in Exchange and files in SharePoint, with Microsoft as processor. Web searches sent to Bing are the exception, since there Microsoft acts as an independent controller. For IT and legal, Copilot is usually the easier yes.
- Data in the EU. For EU customers, Copilot stays within the EU Data Boundary, except web searches sent to Bing and Claude models. ChatGPT offers EU data residency on Enterprise only (OpenAI).
- Admin controls. Copilot follows your sensitivity labels, retention policies and audit settings. ChatGPT Business has an admin console and SAML SSO. SCIM, role-based access and enterprise key management come with Enterprise.
For an EU company already on Microsoft 365, Copilot is usually simpler to approve. ChatGPT Enterprise can meet the same bar. ChatGPT Business is a step down on both residency and admin controls. Personal accounts are the bigger risk for company data.
What is Copilot better at, and what is ChatGPT better at?
Copilot is better at work that already lives in Microsoft 365, like summarizing a long email thread, recapping a Teams meeting, drafting in Word from your own files or finding what was decided and where.
ChatGPT is better as a standalone assistant. It’s strong at writing and thinking through a problem with no document open, at longer tasks in ChatGPT Work that end in a finished document, spreadsheet or presentation (OpenAI), and at software work in Codex. It’s also the same assistant whether you run Microsoft or Google.
Where do Claude and Gemini fit?
- Claude. Anthropic’s add-ins for Excel, PowerPoint and Word come with all paid Claude plans (Anthropic). Claude models also run inside Copilot, outside Microsoft’s EU Data Boundary. In the EU, EFTA and UK they’re off by default. The exception is Word, Excel and PowerPoint, where tenants created after 25 March 2026 have them on by default and older tenants should check the setting in the admin center (Microsoft Learn). For longer, multi-step tasks, Anthropic has an agent called Claude Cowork. My guide covers when to pick Claude Cowork over Copilot Cowork.
- Gemini. It comes with Google Workspace business plans, in Gmail from Business Starter and in Docs and Meet from Business Standard (Google). If your company runs on Google, your question is Gemini vs ChatGPT.
If you’re choosing a model for HR tasks rather than a tool for the whole company, I compare all four in Which AI tool is best for HR?
What do HR teams in Sweden use?
In AI & HR Barometern 2026, 329 HR professionals in Sweden answered which AI tools they use at work and which ones their employer pays for.
Claude is used by 29%. The gap widens when the question is what the employer pays for. Copilot gets 65%, ChatGPT 24% and Claude 17%, and 41% say the employer pays for two or more AI tools. The usage question counts tools approved or allowed in the job, free ones included, so it doesn’t measure unapproved use.
Copilot is the tool respondents most often say their employer pays for. Of the 215 who say so, 49 (23%) say the employer pays for ChatGPT too. The question doesn’t separate the free Copilot Chat from a paid Copilot license, and a few respondents wrote in that what they have is Copilot Chat or a basic version. So the 65% doesn’t show how many people have the paid license.
Source: AI & HR Barometern 2026, humAIn Academy, n=329, collected 8 June to 24 September 2026, multiple answers possible. Respondents chose to take part and are probably more interested in AI than HR professionals in general.
When should you choose Copilot, and when ChatGPT?
- On Microsoft 365 E3 or E5? Give everyone Copilot Chat. Buy Microsoft 365 Copilot for the roles that live in email and meetings, after you fix SharePoint permissions.
- On a Microsoft 365 Business plan? Look at Copilot Business. The $18 first-year price applies to annual purchases until 31 December 2026, unless Microsoft ends the offer earlier.
- On Google Workspace or a mix? ChatGPT Business gives you one assistant across both. Compare it with Gemini.
- Need ChatGPT data kept in the EU? Go for Enterprise.
- Teams that write, analyze or build a lot? Give them ChatGPT seats on top of Copilot Chat. Start with standard seats and move people to premium only if they hit the limits.
- Small budget? Teach people to use Copilot Chat well before you buy more. Start with how to write a good prompt, since the basics are the same in Copilot and ChatGPT.
Can you run Copilot and ChatGPT side by side?
Yes. In the barometer, 15% say their employer pays for both. Of the 196 respondents who use ChatGPT at work, 61% don’t tick it among the tools the employer pays for. That doesn’t mean anything is unapproved. But find out which accounts people use, and under which agreement, before you buy more licenses. If people already use tools nobody approved, my guide to shadow AI covers what to do first.
What I most often see go wrong is leadership announcing Copilot and then using ChatGPT themselves. Employees learn that the official tool is second best. Decide the rules, put them on one page and follow them yourselves. Picking the tool is the easier half. The other half is AI enablement, so people know what to use it for and who to ask.

Frequently asked questions
Is Copilot better than ChatGPT?
It depends on where your work happens. If your company runs on Microsoft 365, Copilot is usually the better fit, because it works with your email, meetings and files inside the apps people already use. ChatGPT is often the stronger standalone assistant for writing, analysis and finished deliverables.
Is Copilot just ChatGPT?
No. Copilot is Microsoft’s assistant for Microsoft 365. It uses OpenAI’s GPT models among others and wraps them in Microsoft’s own search, permissions and data protection. ChatGPT is OpenAI’s own app and reaches your documents through connected apps such as SharePoint.
Is Microsoft Copilot free for businesses?
Partly. Copilot Chat comes at no extra cost with eligible Microsoft 365 business and enterprise plans. It works from the web and uploaded files, and in Outlook from the inbox and calendar. Using your email, meetings and files across the apps takes a paid license. As of November 2026 that’s $30 per user per month on enterprise plans or $21 on business plans, paid yearly.
Can we use Copilot and ChatGPT together?
Yes. One workable setup is Copilot Chat for everyone and ChatGPT Business seats for the teams that write, analyze or build the most. Decide who gets which tool and what data goes where, and make sure leaders use the same tools as everyone else.
Which is safer for company data?
On business plans, neither trains its models on your business data by default. For EU companies on Microsoft 365, Copilot is usually simpler to approve, since prompts and responses fall under agreements you already have and stay in the EU Data Boundary. Web searches and Claude models are the exceptions. ChatGPT offers EU data residency only on Enterprise.
How much does Copilot cost compared with ChatGPT?
As of November 2026, Microsoft 365 Copilot costs $30 per user per month, paid yearly, on enterprise plans. Copilot Business costs $21, or $18 for the first year on annual purchases made by 31 December 2026. A standard ChatGPT Business seat costs $20 per user per month billed annually or $25 monthly, and a premium seat $100 billed annually. Copilot Chat comes at no extra cost with eligible Microsoft 365 plans.

Have the licenses but not the habit?
I train teams in Copilot and ChatGPT on their own tasks, so what you already pay for gets used. After my Copilot session on 7 September 2026, 238 responses gave an average of 4.3 out of 5 on whether participants could use AI in their work.
